The National Home Watch Association (“NHWA,” “we,” “us,” or “our”) is committed to protecting the privacy of our members, website visitors, app users, applicants, and others who interact with NHWA. This Privacy Policy explains how we collect, use, store, protect, disclose, retain, and delete information when you use our website, member portal, mobile application, online programs, events, resources, Connect features, directory tools, membership services, and related services.

This Privacy Policy applies to:

  • The NHWA member portal

  • The NHWA mobile application

  • NHWA online programs, events, resources, forms, and member-only tools

  • NHWA Connect, member posts, community features, and communication tools

The NHWA mobile application is intended for active NHWA members and is not a free public membership service. Access to the app and certain member-only features requires an active NHWA membership, approved account access, or other authorization from NHWA.

By using the NHWA website, app, portal, or services, you agree to the practices described in this Privacy Policy.

1. Information We Collect

We collect information that you provide directly, information collected automatically through technology, and information generated through your use of NHWA membership services.

A. Information You Provide to NHWA

Depending on how you interact with NHWA, we may collect:

  • Name

  • Business name

  • Business address

  • Mailing address

  • Email address

  • Phone number

  • Membership application information

  • Accreditation information

  • Member profile information

  • Directory listing information

  • Username, password, and login credentials

  • Billing, renewal, and transaction-related information

Payment information may be collected and processed by third-party payment processors. NHWA does not intend to store full credit card numbers directly on its systems unless expressly stated at the point of collection.

B. Information Collected Through the Website, App, and Technology

When you use the NHWA website, app, portal, or services, we may automatically collect certain information, such as:

  • Operating system

  • Browser type

  • IP address

  • App version

  • Device identifiers or app identifiers, where permitted

  • Mobile device information

  • Pages, screens, or resources viewed

  • Crash logs, diagnostics, and performance data

The NHWA app and member portal may allow active members to access membership-related features, including:

  • Affiliate and member benefit information

  • Membership updates, renewal information, and administrative notices

D. User-Generated Content

If you post, upload, submit, or share content through NHWA Connect, member profiles, directory listings, event tools, forms, or other interactive features, we may collect and store that content. This may include text, images, files, business information, comments, replies, or other materials you choose to provide.

Content you submit to member-only areas may be visible to NHWA, other authorized members, administrators, moderators, or service providers who help operate those features. Directory listing content may be visible publicly or to other members, depending on the nature of the listing and your account settings.

You are responsible for the content you submit and should not post sensitive personal information that you do not want shared with the applicable audience.

E. Optional App Permissions

The NHWA app may request access to certain device features only when needed for a specific function. Depending on the features available in the app, this may include:

  • Camera access, if you choose to take or upload a photo

  • Photo or media access, if you choose to upload an image or file

  • Notifications, if you choose to receive push notifications

  • Location, only if a location-based feature is added and you grant permission

You can manage app permissions through your device settings. Disabling certain permissions may limit some app features, but it will not affect your active NHWA membership unless the permission is required for a specific member-requested feature.

2. How We Use Information

NHWA may use the information we collect to:

  • Process membership applications, approvals, renewals, and account updates

  • Provide access to member-only app and portal features

  • Verify active membership status

  • Maintain member profiles and directory listings

  • Operate NHWA Connect and other community or communication features

  • Provide online programs, training, resources, and event access

NHWA does not sell personal information. NHWA does not trade or rent personal information for third-party marketing purposes.

We may share information with trusted vendors and service providers who help us operate NHWA services, including:

  • Website hosting and app hosting providers

  • Member portal and database providers

  • Email and communication platforms

  • Payment processors

  • Event, training, learning management, and resource platforms

  • Customer support and administrative service providers

These providers are permitted to use information only as needed to perform services for NHWA and are expected to protect information consistent with this Privacy Policy and applicable law.

B. Member Directory and Public Listings

If your membership includes a profile, accredited member listing, or directory listing, certain information may be displayed publicly or within member-only areas. This may include your name, business name, service area, business contact information, website, directory profile content, accreditation status, and other information you provide or approve for listing.

C. NHWA Connect and Member Community Features

Information you post or share through NHWA Connect or other member community tools may be visible to other authorized members, administrators, moderators, or service providers supporting those tools. NHWA may moderate, remove, or restrict content where necessary to enforce community guidelines, membership standards, legal requirements, or platform requirements.

D. Affiliate and Member Benefit Programs

NHWA may provide members with access to exclusive affiliate offers, preferred providers, insurance resources, web design and management services, software resources, business tools, and other member benefits.

NHWA may present affiliate or partner information to members through the website, app, portal, email, events, or resources. NHWA does not sell member personal information to affiliates.

If you choose to request information, register for, redeem, contact, or use an affiliate or member benefit, we may share limited information necessary to fulfill your request, confirm eligibility, connect you with the provider, administer the benefit, or support the member service. Affiliate providers are responsible for their own privacy practices once you interact with them directly.

E. Legal, Safety, and Compliance Reasons

We may disclose information when we believe it is necessary to:

  • Comply with applicable law, regulation, subpoena, court order, or legal process

  • Respond to lawful requests from public authorities

  • Enforce NHWA terms, policies, membership standards, or accreditation requirements

The NHWA app may be distributed through the Apple App Store and Google Play Store. NHWA is responsible for ensuring that its app privacy disclosures are accurate and consistent with this Privacy Policy.

Information disclosed in the Apple App Privacy details and Google Play Data Safety section should align with the data practices described in this Privacy Policy. If our data practices change, we will update this Privacy Policy and the applicable app store disclosures as required.

6. Data Security

NHWA uses reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, loss, misuse, disclosure, alteration, or destruction. These safeguards may include:

  • Secure website and app connections

  • Encryption where appropriate

  • Password-protected accounts

  • Access controls

  • Secure hosting environments

  • Vendor review and confidentiality expectations

  • Internal administrative procedures

  • Monitoring for unauthorized access or misuse

No system, website, app, or transmission method is completely secure. You are responsible for maintaining the confidentiality of your login credentials and for promptly notifying NHWA if you believe your account has been accessed without authorization.

7. Data Retention

NHWA retains information for as long as reasonably necessary to provide membership services, operate the app and portal, maintain records, comply with legal obligations, resolve disputes, enforce agreements, protect the integrity of NHWA programs, and support legitimate business or association purposes.

Retention periods may vary based on the type of information, the purpose for collection, membership status, legal requirements, accounting obligations, accreditation records, security needs, and operational requirements.

Examples include:

  • Account and membership information may be retained while your membership or account is active.

  • Directory and profile information may be retained while your listing is active or as needed for membership records.

  • Payment and transaction records may be retained for accounting, tax, audit, and legal compliance.

  • Connect posts, messages, or uploaded content may be retained while the applicable feature is active or as needed for moderation, compliance, or recordkeeping.

  • Support requests and communications may be retained to provide service and maintain business records.

  • Security logs, analytics, and diagnostic data may be retained for a limited period unless needed for security, fraud prevention, or legal reasons.

When information is no longer needed, NHWA will delete, de-identify, aggregate, or securely retain it in accordance with applicable law and operational requirements.

8. Account Access, Correction, and Deletion Requests

You may request to access, correct, update, or delete certain personal information associated with your NHWA account.

Active NHWA members may also update certain account, profile, or directory information through the member portal, app, or by contacting NHWA.

To request account deletion or deletion of personal information, contact NHWA using the contact information below or use the account deletion option provided within the app, if available.

Please note:

  • Deleting your app account may affect your ability to access the NHWA app, member portal, programs, resources, events, Connect features, and other member-only services.

  • Account deletion does not automatically cancel any unpaid obligation, completed transaction, membership history, accreditation record, or legal record that NHWA is required or permitted to retain.

  • NHWA may retain certain information where necessary for legal, tax, accounting, security, fraud prevention, dispute resolution, membership integrity, accreditation, enforcement, or legitimate association purposes.

  • If certain information cannot be deleted immediately, we will explain the reason where required by law.

  • Temporary account deactivation is not the same as account deletion.

To support app store requirements, NHWA should provide a readily discoverable way to initiate an account deletion request from within the app and through a publicly accessible web page.

9. Marketing Communications and Member Notices

NHWA may send you emails, newsletters, announcements, event updates, resource updates, affiliate benefit information, and other communications related to your membership or interests.

You may opt out of promotional emails by using the unsubscribe link included in the email or by contacting NHWA. Even if you opt out of promotional communications, NHWA may still send administrative, transactional, membership, renewal, security, legal, or service-related messages.

10. Push Notifications

If you enable push notifications in the NHWA app, we may send notifications related to membership updates, Connect activity, events, resources, programs, reminders, or other app features.

You can disable push notifications through your device settings.

11. Children’s Privacy

NHWA services, including the NHWA app, website, member portal, online programs, and resources, are intended for adults and business users. They are not intended for children under 13.

We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without appropriate consent, we will delete it as required by law.

12. Third-Party Links, Affiliates, and External Services

The NHWA website, app, portal, resources, events, or communications may contain links to third-party websites, affiliate providers, software platforms, insurance resources, business services, payment processors, social platforms, or other external services.

This Privacy Policy does not apply to third-party websites or services that NHWA does not control. We encourage you to review the privacy policies of any third-party service before providing information to them.

13. International Users

NHWA is based in the United States. If you access NHWA services from outside the United States, your information may be processed in the United States or other locations where our service providers operate. By using NHWA services, you understand that your information may be transferred, stored, and processed in jurisdictions that may have different privacy laws than your location.

Depending on your location, you may have certain privacy rights under applicable law, such as the right to:

15. Changes to This Privacy Policy

NHWA may update this Privacy Policy from time to time. If we make material changes, we may notify users by posting an updated policy on our website, updating the policy in the app, sending an email notice, or using another appropriate method.

The “Last Updated” date at the top of this Privacy Policy indicates when it was last revised. Continued use of NHWA services after an updated Privacy Policy is posted means you accept the updated policy, to the extent permitted by law.
